Rules & Regulations for Participation
 
Rights: The India Trade Promotion Organization reserve All rights in connection with the IITF’2003.
 
Participation: Application for participation is to be made in the prescribed from given overleaf. Approval of participation will be at the sole discretion of India Trade Promotion Organisation.
Space Allocation: Application completed in all respects and accompanied by 50% advance payment will only be considered for allocation of space. Space will be allocated to the company by name and no sub-letting will be allowed in any manner. The space will be allotted on first-come-first-served basis subject to optimum utilization of space.
Shell Scheme: ITPO will provide a built –up booth constructed with prefab system with a hight of 2.4 mtr. with fascia writing, carpet, one podium, one table, four chairs, one power plug and seven spotlights (stand lighting up to 1KW) in booth 15/20 sq. mtrs. Each panel will be of 1 mtr. wide with white board.
Construction of Stand in Bare Space: Exhibitor who book bare space will do the layout and interior design of stalls with the approval of the Chief Architect, ITPO keeping in view public safety, free access to public facilities & conveniences, safety to ITPO property, cable terminals for telephone connections, outlets for electricity and water and conveniences to fellow exhibitors must not be obstructed. In case the height of stall is required beyond 2.40 mtr. at some location, the same shall be specifically brought to the notice of Chief Architect, ITPO for prior concurrence before execution.
Payments Schedule: Invoices will be sent to all Exhibitors and payments of stall charges shall be made as follows: 50% advance payment for booking of space with Catalogue Entry Form and balance 50% before 30” September, 2003. If the payment is not received by the due date, the allocated exhibition space will become void and made available to other exhibitors. No refund will be made on cancellation or reduction of stall space. All payments are to be made by Demand Draft drawn in Favour of India Trade Promotion Organisation, New Delhi.
Possession of Space: Possession of space will be given only on receipt of full payment including electricity, water charges and other dues, if any, on or before 7” November, 2003. However, display arrangements are to be completed on or before 13” November, 2003 by 10.00 a.m.
Stall Alteration: (a) No alteration of the size or position of an exhibitor’s stall is permitted. (b) ITPO reserve the right to modify the layouts of stall sites and gangways. (c) Usage of nails, pins, tacks, screws, or any such material to the panel walls of the Built up stall is prohibited.
Security: ITPO will make the general security arrangements. However, participants will be responsible for the security of the exhibits and stall. List of Exhibits should be verified & certified by Security Agency/ Security Guards before handing over to them on daily basis as ITPO does not take any responsibility of thefts etc.
Fire Prevention: Smoking is prohibited inside the exhibition halls. Halogen and other floodlight are not permitted. Use of fire hazard material like thatch, dry grass and other similar inflammable material is not permitted. Electrical wirings under the carpets is a potential fire risk. Wherever this is unavoidable, adequate precautions should be taken by covering the wiring by wooden ramps. Wiring under the carpet should not have joints. Participants will keep and maintain fire-fighting equipment within their Stall as per safety regulations. Arrangements of fire extinguishers in stalls/pavilions are the responsibility of the individual participants. However, fire extinguisher on rent can be provided by ITPO, depending upon availability in stock.
Insurance: Participants will insure their exhibits and display materials against loss, damage, theft, fire or any cause whatsoever. They will also obtain third party insurance cover for construction period, fair period and dismantling period.
Damage to Exhibition Areas: Exhibitors are required to indemnify ITPO against any claim made against them in respect of damage to Exhibition Halls, Structure or property caused by exhibitors stall, exhibits or staff or by agents acting on a Exhibitor’s behalf.
Flammable Materials: All material used in the construction of stalls and displays are to be fully fire proofed and comply with all other local regulations. No gas cylinders will be used in the premises.
Product Liability Insurance: Exhibitors are advised to insure against claim arising out of body injury and /or property damage. An Exhibitor shall produce to the ITPO on demand certificates of insurance.
Service Agencies: Work of cargo handling, clearing, construction of stand, decoration, furniture and catering can be availed by the participants only from those contractors who are registered with the ITPO. No other contractors will be allowed to provide service in Pragati Maidan.
Failure of Service: ITPO will use their best endeavours to ensure the supply of the services mentioned in the Catalogue Form, but if the supply of such services are not within the control of the ITPO, then no exhibitor is entitled for any loss incurred due to failure of services.
Entry/Exit To Pragati Maidan For Exhibitors: (i) Entry into Pragatim Maidan of participants will be on the basis of exhibitor passes issued by ITPO. Each participant will be entitled to five exhibitor passes for a minimum of 15sq.mtrs. and one additional pass will be admissible on each additional 3sq. mtrs. space. In addition, single entry complimentary invitation for business hours will be provided on the basis of one invitation per sq. mtr.
Cleanliness and Maintenance: The participants will be responsible for cleanliness and maintenance of their stalls. Cleaning of common passages/areas will be arranged by ITPO. Participants will be responsible for removal of empties, waste material on 12” November, 2003. No empties or wooden material shall be allowed to be kept behind the partitions of stall. If a participant is allotted a full hall, the cleanliness of the entire hall will be the responsibility of that participant.
Attendance At The Stand:
(i) No stand should be left unattended during the exhibitor hours. The participants will carry on such activity, which in the option of ITPO amounts to nuisance or annoyance. ITPO shall have the right to take remedial action as deemed fit.
(ii)Exhibits must not obstruct passages. Fire extinguisher, cable terminals fro phone connection, outlets for electricity and water must not be obstructed
(iii) No nailing will be allowed for fixing photographs, posters, banners etc.
(iv) Halogen Light not permitted.
Vacation of Space: Space will have to be vacated within two days of the close of the fair. Participants who fail to vacate the space will be liable to pay penalty to ITPO (as prescribed by ITPO) and the ITPO shall have the right to remove the exhibits/materials etc. of participants at the risk and cost of participants. Storage of exhibits in the open area will not be permitted after the close of the Fair and will attract penal rent as intimated by ITPO.
Electrical Installation: All on-site electrical installations must be carried out by the registered /empanelled Electrical Contractor of ITPO. All prefabricated fittings will be subject to an inspection by the official contractor before connection to the mains supply.
Extra Electricity Charges: Extra power would be made available on payment basis. Extra power would be provided on request latest by 14” November, 2003 @ Rs. 180/-per K.W. and consumption charges @ Rs.120/-per K.W. per day.
State Pavilions/ Ministries: Mixed load Light – Power will be provided at the rate of Rs. 120 per KW per day + Rs.180 per KW service connection charges + 5% Service Tax/ Contingency Tax.
Water Charges:
(i). Rs.2000/- would be charged per water connecting and Rs.140/- per tap per day is payable for water consumption and supply. Request for water connection is to be made latest by October 14, 2002. Service Tax/Contingency Tax of 5% to be added.
(ii) (a) For Exhibits: Entry of vehicles in Pragati Maidan during exhibition hours will not be permissible. However, vehicles carrying exhibits etc. can be allowed to enter into Pragati Maidan up to 9.00 a.m. and after 8.30 p.m. with the prior approval of General Manager (Security) (during Fair Days).
(b) No exhibits/ cases/display material will be allowed to be taken out of Pragati Maidan after the close of the Fair without Exit Permit which will be issued by the Central Control Room on production of clearance certificate.
(c) All entry/exit of vehicles to and from Pragati Maidan will be from Gate B or as notified.
Paid Parking: Car parking labels for designated areas will be available on payment of Rs.500/- per vehicle for all days of the India International Trade Fair’ 03.
Paid Exhibitor Passes: Extra exhibitor passes would be given @ Rs. 350/-each.
Dress Code and Noise Level: The IITF is a Business oriented international events attend by domestic as well as by overseas business personal and visitors. It is, therefore, necessary that hosts/ hostesses and presenters, who often promote different products and service on behalf of the exhibitors, be decently attired, keeping in view the law of the land and our cultural ethos. Many exhibitors use loud speakers for playing music, making announcements and other promotional means for attract visitors. While doing so, it is essential to ensure that no nuisance/ disturbance is caused to other exhibitors and annoyance to the visitors. Hence, the sound level is not allowed to exceed 7 decibels.
Refund: No refund of license fee will be made by ITPO.
Interpretation: The decision of CMD, ITPO or his nominees shall be final and binding on the participant about the rules and regulation.
Disputes: Disputes, if any arising out of participation in this fair shall fall within the jurisdiction of the courts of Delhi/ New Delhi.
Smoking Prohibited: Smoking at Pragati Maidan premises/Exhibition ground /Halls is strictly prohibited.
Violation of Rules: In the events of violation of these rules, ITPO Stall of the participant immediately and no refund of participation charges would be considered
